Manage repairable spares as a closed loop

Track individual units from service through repair and back into usable stock.

UNDERSTAND THE CONCEPT

A repairable spare is replenished partly by returning a failed unit to serviceable condition. Keep the common item identity separate from the identity of each physical unit when serial tracking is required. The item describes what can be exchanged; the asset or serial record tells the history of the particular motor, valve or gearbox. This distinction supports condition tracking and avoids confusing a serviceable unit with one awaiting repair.

Map the whole loop: removal, quarantine, assessment, repair authorization, repair, acceptance and return to stock. Capture turnaround time and the reason a unit is scrapped rather than repaired. A warehouse can appear well stocked while most units are unavailable in the repair pipeline. Compare repair cost, expected remaining service, lead time and replacement alternatives before approving each repair. Assign responsibility for overdue units so the repair pool does not gradually disappear into unresolved transactions.

Questions to take back to your team

  1. Can each physical unit be traced through removal and repair?
  2. Are serviceable and unserviceable balances separated?
  3. Who follows up repair turnaround and acceptance evidence?
