UNDERSTAND THE CONCEPT

An asset register needs usable identifiers, locations, classifications and ownership. Completeness alone is insufficient: a filled field can still be wrong. Define validation rules around the decisions and integrations that depend on the data.

Start with a controlled sample of physical verification and compare it with the system. Separate duplicate records from legitimate similar equipment. Keep correction approval and provenance so large imports do not erase useful history or silently relabel installed assets.

Questions to take back to your team

  1. Which fields must be verified physically?
  2. How are duplicates distinguished from similar equipment?
  3. Can every correction be traced to evidence and an owner?
